Your team, roles, leads and the website lead form

Users are unlimited. Each person signs in with their own work email, and their role decides what they see.

WHERE TO FIND IT
Admin → People. An owner sees everything there. Support can add and remove anyone except an owner.

Add someone

  1. In Admin → People, press + Add someone.
  2. Type their name as it prints on a proposal, their work email, and a direct phone if the customer should see one.
  3. Choose their Role.
  4. Press Give them access.

They’re emailed how to sign in: open the cockpit, type that address and ask for a code. To change someone, press Edit on their row.

The five roles

  • Rep: sells, and is named on the proposal. Sees only their own jobs.
  • Support: builds proposals for the reps, never named as the consultant. Can countersign and make variations.
  • Operations: job sheets only. Never sees a price.
  • Accountant: the Finance tab only: signed jobs, invoices and what is outstanding. Can’t quote or change anything.
  • Owner: everything, including costs, margins, the catalogue, tariffs and Admin.

The last owner can’t be stepped down or disabled. Make someone else an owner first.

Whether reps quote

Reps can build and send their own quotes is on unless an owner turns it off. Reps then quote their own jobs only, inside your discount limits and your floor. Off, reps can read their jobs, and every change goes through an owner or Support.

When someone leaves

  1. Press Disable on their row. They’re signed out everywhere and can’t sign back in.
  2. If they have open proposals, choose who to reassign them to, and press Disable and reassign.

Sign out on a row signs someone out of their devices without disabling them.

Scoreboard and sales report

The Scoreboard shows counts, never money, for this week, this month or all time, and everyone sees it. Below it on the same tab, the Sales report shows proposals created, sent and sold, and the signed value. An owner or Support sees everyone’s, a rep sees their own, and only an owner can download it as CSV.

Leads

The Leads tab, in the Sales group, lists your leads newest first. A rep sees the enquiries from your website and the leads assigned to them. Operations and the accountant don’t see the tab.

  • Add a lead: a name, and a phone number or an email address, plus where they came from, the address and a note. Press Add the lead. It’s assigned to you.
  • Import a CSV: a spreadsheet saved as CSV, with a header row, up to 500 leads and 2 MB at a time. Choose which column is which, check the preview, then press Import. A lead whose email or phone is already in your leads is skipped. Owner and Support only.
  • Download CSV: your leads as a spreadsheet. Owner and Support only.
  • Start a proposal on a lead fills Make a proposal with their name, contact details and address.

The lead form for your website

  1. Open Admin → Website. Only an owner sees it.
  2. Type the full address of your privacy policy, starting https://. The form links to it, so it’s needed.
  3. Press Make my form.
  4. Press Copy the code and paste it into your website where the form should go.

Visitors see “Ask your company for a solar quote”, with boxes for their name, phone, email, the home’s address and what they’re after, and a tick agreeing to be contacted, beside the link to your policy. Each enquiry lands in your Leads tab and is emailed to your company.

New key makes new code and switches the old form off until you paste the new code in its place. Turn the form off switches it off, and the form on your website then says so.

Under the form, Webhooks can send each new lead, sent proposal, signed proposal and won job to an https address of yours, such as your CRM.
