VEU evidence and your accredited provider’s pack
For each VEU job, the job sheet collects what your accredited provider needs: the photos, the serial numbers, how each old product was made safe, and who did the work. When nothing is missing, back office downloads the pack in one click.
Jobs → the job’s Job sheet → VEU evidence for your accredited provider. It’s on screen only; the printed sheet is unchanged. The owner, back office and operations see it. Reps, the accountant and the customer never do.
Photos and documents are kept in Jouli’s photo storage, which isn’t switched on yet. Until it is, the section says “Photo storage is not switched on yet, so evidence can’t be added.” The photo and document steps below work once it is.
First: your team’s licences
In Admin → Team → People, press Edit on each installer and, under Trade licences, type the licences they hold: Grade A electrician licence (ESV), Gasfitting licence (VBA), Plumbing licence or registration (VBA) or Refrigerant handling licence (ARC), each with its expiry if you like. Press Save licences. On the job sheet, each trade can be given only to someone who holds its licence.
Fill in the VEU record
- Type the Installation date, the Certificate of Electrical Safety number and, for a water heater or gas work, the Plumbing compliance certificate (BPC) number.
- For each item, under its reference on the job sheet (AC1, OLD1, HW1 and so on), fill in what it asks: serial and model numbers for the new products; for each old one, its brand, model and serial, whether it was removed from site (and if not, why), and how it was made safe and unusable.
- Answer Water heater sizing on a hot water job, and the Scope agreement: what happens to the old products and who does any building repairs.
- Under Who did the work, choose the electrician and, where the job needs them, the gasfitter, the plumber and the refrigerant handler.
- On a multi-split job, fill in the Multi-split sizing record room by room (Add a room), and the day it was signed.
- Press Save the VEU record.
An item quoted without the VEU discount says it needs no evidence, and stays out of the pack.
Add the photos
Each item lists the photos it needs and what each must show: Old product in place, Old product’s nameplate, Old product decommissioned, New unit’s nameplate and serial, Indoor unit as installed, Outdoor unit as installed or Tank label.
- Take each photo with the phone’s own camera app, with location on.
- Press Add a photo under the photo it is, and choose it. It’s kept exactly as taken, with its location and time.
- Check the line beside it. ✓ location and time checked means it passed. Otherwise it says why, in words: no location, no capture time, taken more than 200 m from the job’s mapped address, or taken before the customer signed.
Photos can be added only once the customer has signed. A wrong photo is ticked Set aside. Removing one for good is the owner’s alone, with a reason, and it’s recorded on the activity log: evidence is kept for 6 years. While a variation of the job is being drafted, add photos and record the work on the variation.
Ready for your accredited provider
The top of the section gives the job’s status (Collecting, Ready for your accredited provider, Sent to your accredited provider, Accepted by your accredited provider or Queried by your accredited provider) and lists everything still needed, each with who supplies it. The VEU rules that priced the job are run again on the signed job and its install date, and anything they refuse is on the list word for word.
- Documents: add the Certificate of Electrical Safety (CoES), the Plumbing compliance certificate (BPC), the Co-payment receipt and, only if it was signed on paper, Your accredited provider’s assignment form, signed, each with Add the file (PDF or JPEG).
- Co-payment received (back office): the Paid on date, the Amount paid ($, inc GST) and the Receipt or payment reference, then Save the co-payment. It must be at least VEU’s minimum for the products, paid before your accredited provider creates the VEECs. Operations sees that it’s needed, not the figures.
Download the pack
Back office (the owner or Support) moves the job along:
- When nothing is left on the list, press Mark ready for your accredited provider.
- Press Download the pack (ZIP) and send it to your accredited provider.
- Press Mark sent. When they answer, press Accepted, or type What they asked and press Queried. Back to collecting takes it back a step.
The pack holds a summary PDF, the assignment form’s fields filled in from the job (as JSON and CSV), every photo as taken with its checks, the documents, and a manifest with each file’s checksum. It never carries a declaration: that is your accredited provider’s own wording, on its own form. Each pack made is recorded on the job’s history.
Once accepted, the record, the photos and the documents are read-only until the owner reopens the job (Why it is being reopened, then Reopen this job).
Jouli doesn’t create VEECs. Your accredited VEU partner creates the VEECs from the pack, under its own accreditation, and the evidence is your business’s to get right.
