Prepaid proposals and auto top-up

Each proposal uses one prepaid proposal the first time it goes to its customer. Your owner buys packs by card in the cockpit, and can turn on auto top-up so sending doesn’t stop.

WHERE TO FIND IT
Prepaid proposals, in the Company group of the left rail. Only an owner sees it, and only on a company that buys packs. Back office sees the balance under Admin → Billing & activity → Prepaid proposals: “Only the owner can buy packs.”

How prepaid proposals are used

  • One is used the first time a proposal goes to its customer: emailed, its link copied, sent by WhatsApp, or marked as sent another way.
  • Drafts, previews, tests, refined versions to the same customer, re-sends, the customer’s choice between your options, and a variation of a signed job at the same address are free.
  • The note beside Email the proposal says what a send will use, for example “Sending uses 1 of your 40 prepaid proposals”, or “Re-send — free”.
  • Your first 5 are free, to use within 30 days of sending being switched on for your company.
  • A pack lasts 12 months from the day it’s bought, and the prepaid proposals that expire soonest are used first.
  • Running low, everyone signed in sees a banner. At none left, a new proposal can’t be sent until your company buys a pack; drafting, pricing and re-sends carry on.

The Prepaid proposals page

  • Balance: how many are left, split into paid, free (with the day to use them by) and any added by Jouli, and each pack with what’s left and when it expires. The ⓘ beside it gives the rule above.
  • Buy a pack, Payment method and Auto top-up: below.
  • Receipts and tax invoices: opens Stripe’s page of your receipts and tax invoices. Nothing is bought there.
  • Purchase history: every pack you’ve bought, newest first.

Buy a pack

  1. Under Buy a pack, press Starter (25 proposals for $150 + GST), Business (100 for $500 + GST) or Volume (300 for $1,200 + GST).
  2. Pay by card on Stripe’s checkout page.
  3. Back in the cockpit, the page says “Payment received — your prepaid proposals appear within a minute.” A tax invoice is made for every pack.

Packs are paid by card, through Stripe. Prices are plus GST, and clause 11 of the terms applies. See pricing.

Save a card

  1. Under Payment method, press Save a payment method.
  2. Save your card on Stripe’s page. Jouli never sees the full card number.
  3. Back in the cockpit, the card shows as its brand and last four digits, for example “Visa ending 4242”.

Replace swaps it for another card. Remove takes it off, and auto top-up turns off with it.

Turn on auto top-up

With a card saved, auto top-up buys a pack for you when you run low, so sending doesn’t stop. Under Auto top-up:

  1. Choose the Pack.
  2. Set Top up when we have fewer than this many left (5 to start with).
  3. Set At most this many packs a month, from 1 to 10 (2 to start with).
  4. Read the authorisation beside the tick box: the pack, its price including GST, the line and the limit. Tick it.
  5. Press Turn on.

When a send takes you under the line, one pack is bought on the saved card, and its proposals appear within a minute. It never buys more in a calendar month than your limit. The page shows what it’s set to and how many it has bought this month. Changing the pack, the line or the limit asks for the tick again; Turn off stops it.

If a payment doesn’t go through

If your card is declined, auto top-up pauses and doesn’t try again on its own. Your owners are emailed, and the page and an owner’s banner say why, with Pay for the Business pack now (or whichever pack it was). Paying it, saving another card, or turning auto top-up back on with Turn back on lifts the pause. Until then, a new proposal can’t be sent at zero.
